This handbook is designed to answer most of the common questions educators and presenters might raise during the initial planning of an artist residency.

With an overview of how such residencies are most effectively organized- including the engagement of secondary presenters in the local area, an institution can better make decisions regarding a residency's educational and artistic scope, duration and outreach efforts within the community.

Through various cost-sharing mechanisms and incentives these basic factors affect directly how artistic fees are set and related travel and lodging arrangements are handled and funded.

As each educational institution has its own unique curricular and demographic profile, these guidelines are intended as preliminary in nature. A more institutionally-sensitive model can be crafted through a free artist consultation by phone, fax, email or any combination.


RESIDENCY LENGTH



Five to seven days is the most effective minimum length for a residency, whether conducted exclusively at a single Host site or a joint residency with other local Secondary presenters either in the local community or outer areas accessible within two hours' drive.

Such a window enables the artist to work with a wide crossection of students in a diversity of curriculum areas and artistic settings.

A Host Site is the institution where the central portion of a residency is implemented and the initial firm commitment around which secondary presenters can be engaged in a joint residency.

INITIAL RESIDENCY PLANNING


Planning begins with a consultation between artist and a prospective Host Site. As the parameters of this central commitment take shape, a regional itinerary including secondary presenters can then develop.

Host sites offer in-house technical and personnel resources towards the advance promotion and followup documentation of a residency, and work in conjunction with the artist to engage key press, radio and cable/television contacts.

To streamline efforts from the earliest planning stages, a key point person is identified as coordinator for each university or presenter involved. Once the main artistic and academic areas of interest are indicated and a fee structure established, ongoing email contact is the best way to proceed in finalizing the more logistical aspects: itinerary, airline reservations, local travel, hotel, technical requirements and promotion.

SCHEDULING ACTIVITIES with the RESIDENCY DAY



Artistic Activities are consolidated into a model known as the RESIDENCY DAY as follows:

• a central Artist Performance or university Convocation with a maximum of two additional workshops OR

• a maximum of three workshops without a central Artist Performance and/or university Convocation

Host Sites will usually work with the first model, local secondary presenters focusing more on workshops and master classes that fit within the Host Site itinerary. Depending on travel involved, the artist can be contracted for one, two or three educational events of 60-90 minutes each.


Artist Agreement

Based upon the relative engagement of the artist among participating institutions, a model for cost-sharing and other incentives is drafted into an artist agreement for each institution, including fees, itinerary and other basic terms of the residency. The agreement can be drafted on the basis of a template supplied by the artist and/or the institution, whichever most concisely represents the scope of residency activities and conditions of engagement.

Performances and Rehearsals with solo artist or artist ensemble, student/faculty ensembles
Workshops and Master Classes in Ensemble Improvisation, Performance Practice, Repertoire, Instrument-specific solo or ensemble work (guitar, voice, choir, etc.)
Convocations, symposia and other university-wide events
Special Seminars in Essential Musicianship:
Theory, Ear Training, Composition, Transcribing

Special interest topics including Brazilian, Afro-Cuban and other World Musics
Private study sessions
available outside of contracted residency activities

INTEGRATED ITINERARIES


With the expanding of the regional itinerary between the Host Site and Secondary Presenters, it is not uncommon for activities between two institutions to be integrated within the same calendar day.

This flexibility helps to accomodate an institution's existing class and concert schedules while helping to consolidate artist activities among the participating institutions in the most time-effective window possible.

In this case, each institution would be contracting the artist for a full residency day, only broken over two days.

A typical integrated itinerary between two institutions may look as follows:

NOTE: Commercial club and performance venues off university campuses are not considered part of residency activities or part of a residency day, unless the funding conduit is a university which has arrangements with an outside venue more appropriate to the artist's performance, anticipated audience, or other logistical considerations.

Such additional performances are scheduled at the artist's discretion.
Point persons
coordinating the residency are however, encouraged to recommend such commercial venues to the artist, particularly to fill in open weekend dates which would rarely interfere with weekday residency activities.

Primary Travel: Advance purchase roundtrip airfare from artist city to Host Site's destination city

Local travel: airport-venue-airport and between lodgings and venues

Lodgings on or off-campus (single rooms for duo residencies)

Per diem for basic artist expenses

Cost-sharing of travel and local lodgings with secondary presenters is arranged with other participating institutions in the residency. Please note that all above expenses are not considered artistic fees and thus not reportable as artist income for tax purposes.


Provisions arranged by Host Site and Secondary Presenters

Per diem for basic artist expenses

Equipment: guitar amplifier, PA system and recording playback systems as needed for concerts, workshops, etc.

Duplication & related technical services for residency materials and presentations

Roster of local media and on-campus PR contacts provided in advance for coordination of promotion with artist

residency documentation including publicity and program materials, audio / videotaping of events, print media
radio/television interviews, etc.
